May 2025 Board of Directors Meeting

Date: Thursday, May 22, 2025
Time: 6:30 – 7:50 pm

Meeting was called to order at 6:40 p.m. and quorum was established. Board of Directors present: Dave Jacobs (President), Lauren Fulton (Vice President), Glen Roat (Treasurer), Shauna Smith (Secretary). Members at Large present: Cheryl Gerger, Lash Rusell. 

Treasurer’s Report – Glen Roat

·      Financial update – in good shape with $69K in account

·      Piloting Electronic Payments

o   Use of Quickbooks is going very well

o   Can generate a QR code so members can scan and pay electronically via ACH, Venmo, Apple Pay, Credit Card, etc.

§  3% charge on credit card payments

o   Not able to make payments from Quickbooks so will transfer funds to Wells Fargo account for that

Secretary’s Report – Shauna Smith

·      2024-2025 current fiscal year active membership count – 90 property owners

·      Create a new directory column for 2025-2026 members

·      Campaign for membership to current nonmembers who have benefited from fire mitigation– Lash Russell

·      Post membership reminder on mailboxes after 4th of July parade flyer comes down

Spring 2025 Dumpster Day Planning

·      Saturday June 7th, 9:00 – 2:00 pm, Fawn Circle and Moose Circle

·      Dumpsters ordered for drop off 7:30 am on 6/7

·      Signage to go up Saturday morning

·      Email reminder to be sent next week

·      Have membership lists at each location for check-in

Deerfield 4th of July Tractor and Classic Vehicle Parade

·      Post mailbox flyers after Dumpster Day flyers come down

·      Permit application is in process

·      Portapotty has been ordered

·      Open to anyone, not just members

Meet and Greet with new DC Commissioner - The DHPO Board members, along with all Franktown HOAs, are invited by the Franktown Citizens Coalition to meet with Kevin VanWinkle, a new commissioner of Douglas County, on 5/29.  The meeting is to hear Mr. VanWinkle discuss important information for HOA’s and other Franktown citizens.

Other Business/Comments

·      Fire mitigation is wrapping up with the last 6 owners committed and all remaining funds to be allocated

·      Next Board meeting in mid-August at Lash Russell’s – 10290 Fawn Circle

·      Next Membership meeting September 16th at Franktown Fire Station
